To ensure that everything runs smoothly and successfully, given the large number of matches that need to be played throughout the tournament, it is important that everyone participating abides by the following rules.Please help to make the tournament successful by organising and playing your matches as soon as possible within the allotted time frame. There is no “window” within which a match is to be played. As soon as the match is ready to be played it is to be played as early as possible.
· All First Round matches to be completed by 30thJuly
· All Second Round matches to be completed by 14th August
· All Quarter Finals to be completed by 24thAugust
· All Semi Finals to be completed by 1st September
· Finals Day will be on Sunday 2nd September. Please ensure you are available to play on these dates.
The following guidelines have been written to help facilitate participants to organise matches in the fairest, most efficient and respectful manner possible. Should the tournament referee need to make a judgement on who should progress in the tournament in the event of a match not being completed, the co-operation of each competitor with respect to these guidelines will be taken into account.
1. It is the responsibility of both singles players and doubles pairings to make contact with their opponent(s) in a timely manner in order to utilise as much of the available time for a round as possible. At the start of each round each participant should aim to offer at least 2 different options.
2. Each participant must respond Yes/No to proposed options within two days and if they cannot make either proposed time they must then offer at least two alternative options.
3. In the unlikely event that a mutually agreeable date cannot be found then the tournament referee should be contacted by the players. This should be done at least 3 days prior to the deadline for a round to enable time for a resolution to be found.
4. If it is the case where one party has tried to arrange a match and the other party has not responded or has been unable to play due to whatever reason, the person who has tried to arrange the fixture will be awarded a walkover.

Late Arrivals
There will be a plate tournament for the unlucky losers in all events where there are sufficient number of entrants. Any competitor(s) who loses their first match will be included in the draw for the respective plate competition. If you are unable, unavailable or would prefer not to be included in the plate tournament, please let the tournament referee know as soon as you can
Court Availability
For the duration of the tournament, the club championship matches take priority over any other tennis with the exception of court(s) required for coaching/weekly tennis activities run by Steven Richards.
Tennis Balls
Players are responsible for providing new balls for all matches except the final. The balls for finals day matches will be provided by the club. New balls are available behind the bar for a cost of £5

- You can download entry formsfrom the club website, and the club will also send an email to all members with an entry form attached. Entry forms will also be available behind the bar. Entry forms including tournament dates and tournament rules will be given to each potential entrant.
- If you are going to be away on holiday for more than 10 consecutive days during the tournament then please do not enter. Please make every effort to prioritise the tournament for the 6weeks that it will run for.
- Entries to be handed in behind the bar to JanaZaborska - Club Manager, withthe total entry fee at time of entering. £4 per event, £10 for all 3. If no fee, or an incorrect fee is paid, the entry will not be accepted.
- Only enter all 3 events if you are prepared to play 3 finals matches on finals day.
- Closing date for entries is SATURDAY JULY 14th2018. Draws will be made on Monday July 16th 2018.
- Late entries will not be accepted.
- Contact details (telephone & email) for all entrants will be posted on the club noticeboard.
- If you don’t have a partner for a doubles/mixed doubles event please write “partner required” on your entry form and the tournament organiser will endeavour to pair you up.
- If, after entering, you learn you can no longer make Finals Day, please withdraw your entry, letting the tournament referee, your next opponent(s) and, if appropriate, doubles partner know immediately.
- All monies will go towards funding trophies/presentation evening later in the year.
- Matches are the best of three sets with tie-breaks applicable in the first two sets in the event of the score reaching six games all. The final set must be a long set i.e. 2 clear games 11-9, 13-11 etc…

- All matches must be played before the “play by” date for each round. Please do not wait until the “play-by” date of each round to play. Matches should have been played well before these dates to allow the plate competition to be drawn and organised.The “play by” dates will be clearly set out on the draw sheetsas well as listed here:
- It is possible that if there is a large entry then a pre-qualifying stage will be necessary to accommodate all entries. The pre-qualifying matches will need to be played by 23rd July at the latest.

- In the event of very bad weather and a knock-on build-up of uncompleted matches these dates will be reviewed and amended by the tournament referee as required. It is within the discretion of the tournament referee in conjunction with the tennis committee to scratch a player if they consider that a player is not taking the deadlines seriously.
- The only movement on the above dates will be in exceptional circumstances. If you feel your match is affected by such circumstances, please contact the tournament referee as soon as possible. Each case will be judged individually to come to a fair resolution.
- Please do not wait for somebody else to arrange the matches. Everyone has equal responsibility. If you do not know your opponent(s) or have difficulty contacting them, please ask the tournament referee for help.
- Players who fail to show for an agreed match date without notifying their opponent forfeit the match.

Progress
- The winners of matches are responsible for writing up the results on the draw sheets in the clubhouse immediately after the match is completed.
- The day after the date given as the end of the round the tournament referee will visit the clubhouse to update the tournament sheet and make the necessary arrangements to close the round.
- In the event of a dispute, the referee’s ruling, which may be made in consultation with the tennis committee, is final.
Late Arrivals
- If you are more than 20 minutes late for a scheduled event you forfeit the first set; if you are more than 30 minutes late you forfeit the match.
- Forfeits can be avoided if you contact your opponent in advance to agree a rescheduled time. Any disputes should be referred to the tournament referee.
- If you are playing in a doubles tournament and your partner is injured in an early round, please do not substitute your partner without first consulting the tournament referee.
- In the event of a doubles player withdrawing from the tournament, the referee will decide who should go through to the next round. The referee will also have the discretion to introduce a new doubles player if it is in the interest of the tournament to do so (First Round only)
- If you are playing in a singles tournament and find you are unable to continue beyond the next round, you can either grant a walkover to the opposition or concede if you reach match point in your favour.
- If you are playing in a doubles tournament and find you are unable to continue beyond the next round, it is your responsibility to inform your partner, who then has the option to grant a walkover or to concede if you reach match point in your favour.
